Privacy
What we do with your data, and how to exercise your rights.
Last updated: 24.10.2026
This page explains what personal data we process when you visit utjb.ch, enter one of our races, buy from the shop, become a volunteer or subscribe to our newsletter, why we do so, and how to exercise your rights.
1. Who is responsible
The data controller is the association "Up n' Down", organizer of the Trail du Jura bernois:
Association Up n’ Down
Grand-Rue 130
2720 Tramelan, Switzerland
info@utjb.ch
We apply the Swiss Federal Act on Data Protection (FADP). If you live in the European Union, the General Data Protection Regulation (GDPR) may also apply: the rights described below then apply to you as well.
Race entries are made on the platform of our timing partner MSO, which has its own privacy policy (see section 5).
2. When you visit the site
Like any website, utjb.ch receives technical data on every visit: IP address, browser and device type, pages viewed, date and time. This data is used to display the site, protect it against attacks (Wordfence firewall) and fix errors. The site is hosted by Infomaniak in Switzerland.
Some content is loaded from other companies’ servers, which then receive your IP address:
- some fonts, from Google Fonts (Google);
- access maps, from Google Maps (Google);
- videos, from YouTube (Google);
- the entry module and the list of entrants, from MSO (Switzerland);
- the course map, with base maps from swisstopo (Federal Office of Topography, Switzerland) and elevation data served by Amazon Web Services;
- anti-bot protection for forms, Google reCAPTCHA (Google), which analyses how the form is used to tell a person from a bot.
The German and English versions of the site are translated automatically by the Linguise service, which receives the text of the pages to be translated.
The photo galleries and the results page count their usage (searches, profiles opened, photos viewed or downloaded) as daily totals, without cookies, IP addresses or names; for runner profiles, only the bib number of the profile opened is recorded, never the person who opened it. To prevent abuse of the “Remove this photo” button, the server keeps an encrypted fingerprint of the IP address for 24 hours, which cannot be used to recover the address itself, and then deletes it.
3. Cookies and analytics
On your first visit, a banner asks for your consent to non-essential cookies. You can accept all, reject all or choose, and change your mind at any time via the site’s cookie settings or by clearing your browser’s cookies.
| Essential | Operation of the site and shop (selected language, basket, order), payment fraud prevention (Stripe), remembering your cookie choice (CookieYes). These do not require consent. |
|---|---|
| Analytics | Google Analytics (Google), to find out how many people visit the site, which pages and where they come from. Only with your consent. |
| Advertising | Google Tag Manager and Google Ads (Google), to measure clicks through to entry from our ads; Meta pixel (Facebook and Instagram), to measure the impact of our posts and ads. Only with your consent. |
If you decline, Google Analytics and Google Ads set no cookies. They only receive a cookieless signal indicating the visit and your refusal, which lets Google estimate traffic.
Playing a YouTube video embedded on the site may also set YouTube cookies.
4. Forms and newsletter
The site’s forms
The site has three forms: newsletter sign-up (email address), the volunteer form (first name, surname, email, phone, town, T-shirt size, preferred roles and availability, message) and the association membership form (first name, surname, email, postal address, message). Their content is sent to us by email and stored on the site, so we can reply to your request and organise the race.
The newsletter
We send the newsletter using Infomaniak’s Newsletter tool, in Switzerland. When you join the early access list via the site’s form, your address is saved directly in this tool, and an email asks you to confirm it: without that click, you are not subscribed. This form includes an anti-bot check served by Infomaniak (ALTCHA), which sets no cookies. The newsletter announces dates, price deadlines and race news. We also write to people who entered a previous edition to tell them about the next one. Every email contains a link to unsubscribe in one click.
Early access and prize draw
If you join the early access list, your address is used to send you the early entry link and then race news. In a prize draw among entrants, your entry data is used solely to carry out the draw and hand over the prize.
5. Race entries
Entries and timing are handled by MSO (mso.swiss), in Switzerland. MSO processes your account and entry data under its own privacy policy. MSO passes on to us the entry data we need to organise the race: identity, category, course, contact details and other information requested at entry.
We use it to:
- organise the race: bibs, safety, aid stations, information before and after the race;
- write to you about the race, its satisfaction survey and future editions;
- compile internal statistics (participation, origin, loyalty), without publishing any data that could identify you;
- link your photos to your bib number (see section 6).
6. Results and photos
Results
Results are public, as in any race: your name, category, time, ranking, split times and the other information MSO publishes in its results. We show them on the Results page of utjb.ch, for all editions since 2018.
Photos
Photographers, commissioned by the organisers or race partners, take photos during the race. They are published free of charge in our galleries. So that everyone can find their own, we link a photo to a runner using the bib number visible in the photo and, when it isn't visible, using the passing time and outfit compared with other photos. We never use facial recognition.
You can remove a photo of yourself directly from the gallery viewer, using the “Remove this photo” button: it disappears from the gallery immediately. You can also write to us at info@utjb.ch.
7. Shop
When you order from the shop, we process your name, delivery and billing address, e-mail, phone number and the contents of your order, in order to ship it, invoice it and answer your questions. Parcels are sent by Swiss Post.
Card payments go through Stripe. Your card details are entered with Stripe and never reach us.
8. Volunteers, members and survey
Volunteer data (website form or direct contact) is managed in the organising committee's internal application, hosted by Infomaniak in Switzerland. It is used to plan shifts, contact you before the race, record your attendance and invite you to the thank-you dinner. Only committee members who need it have access.
The data of Up n’ Down association members (name, postal address, email, and membership fees paid) is used to maintain the membership list, send membership fee invoices, and convene the general assembly. This data is managed within the same internal application; only committee members who require it have access.
After the race, we invite participants to a satisfaction survey via a personal link. The answers help us improve the race. We may quote short extracts from answers, always without names.
9. Service providers and transfers abroad
We do not sell your data. We only share it with the service providers we need, who process it on our behalf:
- Infomaniak (Switzerland): hosting of the website and the committee's application, e-mail, newsletter;
- MSO (Switzerland): registrations and timing;
- Pixel idea (Tramelan): website development and maintenance, with technical access;
- Stripe: card payments; Swiss Post: shop deliveries;
- Google (Analytics, Tag Manager, Ads, reCAPTCHA, Maps, Fonts, YouTube), Meta, Amazon Web Services, Linguise, Wordfence: see sections 2 and 3;
- the photographers commissioned for the race.
Backup copies of the website are kept by our hosting and backup providers.
Some providers (notably Google, Meta, Stripe and Amazon Web Services) may process data in the United States. In that case, the transfer is made to companies certified under the Swiss-U.S. Data Privacy Framework or on the basis of standard contractual clauses.
10. Retention period
- Newsletter: until you unsubscribe.
- Contact and volunteer forms: for as long as it takes to handle your request and organise the editions you volunteer at, then for no more than three years after your last involvement.
- Membership list: for as long as you are a member, then for no more than three years after you leave; membership fees, as accounting records, ten years.
- Registrations: for as long as they serve the organisation and history of the race; published results remain online as race archives.
- Photos: for as long as the galleries display them, unless you remove them.
- Shop orders: ten years, the legal retention period for accounting records.
- Audience measurement: according to the period set in Google Analytics, no more than fourteen months.
11. Your rights
At any time, you can ask us what data we hold about you, have it corrected or deleted, object to its use (for example for the newsletter or the publication of a photo), withdraw your consent where you have given it, and receive your data in a common format. However, some data must be kept where the law requires it (accounting, for example).
Write to us at info@utjb.ch. We may ask you to prove your identity before replying.
If you feel we are not respecting your rights, you can contact the Federal Data Protection and Information Commissioner (edoeb.admin.ch) or, if you live in the European Union, the data protection authority in your country.
12. Changes
We update this page when our practices or tools change. The version published here, with its date, is the one that applies.
