Confidentiality

What we do with your data, and how to exercise your rights.

Last updated: October 21, 2026

This page explains what personal data we process when you visit utjb.ch, register for one of our races, shop in the store, volunteer or subscribe to our newsletter, why we do it, and how to exercise your rights.

1. Who is responsible

The data controller is the association "Up n' Down", organizer of the Trail du Jura bernois :

Association Up n' Down
Grand-Rue 130
2720 Tramelan, Switzerland
info@utjb.ch

We comply with the Federal Act on Data Protection (FADP). If you live in the European Union, the General Data Protection Regulation (GDPR) may also apply: the rights described below then also apply to you.

Race registrations are done on the platform of our timing partner MSO, which has its own data protection statement (see chapter 5).

2. When you visit the site

Like any website, utjb.ch receives technical data on each visit: IP address, browser and device type, pages viewed, date and time. This data is used to display the site, protect it against attacks (Wordfence firewall), and correct errors. The site is hosted by Infomaniak in Switzerland.

Some content is loaded from other companies' servers, which then receive your IP address:

  • certain fonts, from Google Fonts (Google);
  • access maps, from Google Maps (Google);
  • the videos, from YouTube (Google);
  • the registration module and the list of registered users, from MSO (Switzerland);
  • the route map, with map backgrounds from swisstopo (Federal Office of Topography, Switzerland) and altitude data served by Amazon Web Services;
  • form protection against robots, Google reCAPTCHA (Google), which analyzes form usage to distinguish a person from a robot.

The German and English versions of the site are automatically translated by the Linguise service, which receives the text of the pages to be translated.

The photo galleries and rankings page track their usage (searches, opened profiles, photos viewed or downloaded) in daily totals, without cookies, IP addresses, or usernames; for runner profiles, only the bib number of the opened profile is recorded, never the person who opened it. To prevent abuse of the "Remove this photo" button, the server keeps an encrypted hash of the IP address for 24 hours, which does not allow the IP address itself to be traced, and then deletes it.

3. Cookies and audience measurement

On your first visit, a banner will ask for your consent to the use of non-essential cookies. You can accept all, reject all, or choose which cookies to accept, and change your mind at any time through the website's cookie settings or by deleting cookies from your browser.

EssentialWebsite and shop functionality (language selection, shopping cart, order), payment fraud prevention (Stripe), remembering your cookie preferences (CookieYes). They do not require your consent.
Audience measurementGoogle Analytics (Google) is used to track how many people visit the site, which pages they visit, and where they come from. Only with your consent.
AdvertisementGoogle Tag Manager and Google Ads (Google) to measure clicks to sign-up from our ads; Meta pixel (Facebook and Instagram) to measure the impact of our posts and ads. Only with your consent.

If you decline, Google Analytics and Google Ads will not set any cookies. They only receive a cookie-free signal indicating the visit and your refusal, which allows Google to estimate traffic.

Viewing a YouTube video embedded on the site may also place YouTube cookies on the site.

4. Forms and newsletter

The website forms

The website has three forms: newsletter signup (email address), volunteer registration form (first name, last name, email, phone number, location, t-shirt size, desired roles and availability, message), and the FAQ contact form (name, email, message). The information you provide is sent to us by email and stored on the website so we can respond to your request and organize the race.

The newsletter

We send the newsletter using Infomaniak's newsletter tool in Switzerland. When you join the advance mailing list via the website form, your email address is automatically saved in this tool, and an email asks you to confirm it: without this confirmation, your subscription is not active. This form includes an anti-robot verification process provided by Infomaniak (ALTCHA), which does not set any cookies. The newsletter announces dates, prize deadlines, and race news. We also email those who subscribed to a previous edition to inform them about the next one. Each email contains a link to unsubscribe with a single click.

The preview and the prize draw

If you join the early bird list, your email address will be used to send you the early registration link and then race updates. In the prize draw among registered participants, your registration data will only be used to conduct the draw and award the prize.

5. Race registration

Registration and timing are handled by MSO (mso.swiss), in Switzerland. MSO processes your account and registration data according to its own data protection policy. MSO provides us with the registration data we need to organize the race: identity, category, course, contact details, and other information requested during registration.

We use them for:

  • organize the race: bibs, security, refreshments, information before and after the race;
  • to write to you about the race, its satisfaction survey and the following editions;
  • to establish internal statistics (participation, origin, loyalty), without publishing data that allows you to be identified;
  • link your photos to your race number (see chapter 6).

6. Results and photos

Results

The results are public, as in any race: your name, your category, your time, your ranking, your split times, and other information that MSO publishes in its rankings. We display them on the Rankings page of utjb.ch, for all editions since 2018.

Photos

Photographers, commissioned by the organizers or race partners, take photos during the race. These are published free of charge in our galleries. To help everyone find their photos, we link each photo to a runner using the bib number visible in the photo and, when it's not visible, by the time they passed and their outfit compared to other photos. We never use facial recognition.

You can remove a photo of yourself from the gallery viewer using the "Remove this photo" button: it will disappear from the gallery immediately. You can also write to us at info@utjb.ch.

7. Shop

When you order from the shop, we process your name, shipping and billing address, email, phone number, and order details to ship, invoice, and answer your questions. Shipments are sent via the postal service.

Card payments are processed through Stripe. Your card details are entered by Stripe and never reach us.

8. Volunteers and Survey

Volunteer data (from the website form or direct contact) is managed in the organizing committee's internal application, hosted by Infomaniak in Switzerland. This data is used to schedule volunteer positions, contact you before the race, record your attendance, and invite you to the thank-you dinner. Only committee members who need it have access.

After the race, we invite participants to complete a satisfaction survey via a personal link. The responses are used to improve the race. We may share short excerpts from responses, always anonymously.

9. Service providers and transfers abroad

We do not sell your data. We only share it with the service providers we need, who process it on our behalf

  • Infomaniak (Switzerland): hosting of the committee's website and application, email, newsletter;
  • MSO (Switzerland): registration and timing;
  • Pixel idea (Tramelan): website development and maintenance, with technical access;
  • Stripe: card payments; La Poste: shop shipments;
  • Google (Analytics, Tag Manager, Ads, reCAPTCHA, Maps, Fonts, YouTube), Meta, Amazon Web Services, Linguise, Wordfence: see chapters 2 and 3;
  • the photographers commissioned for the race.

Backup copies of the site are kept by our hosting and backup providers.

Some service providers (including Google, Meta, Stripe, and Amazon Web Services) may process data in the United States. In such cases, the transfer is made to companies certified under the Swiss-US Data Privacy Framework or based on standard contractual clauses.

10. Shelf life

  • Newsletter: until you unsubscribe.
  • Contact and volunteer forms: the time to process your request and organize the editions where you volunteer, then at most three years after your last commitment.
  • Registrations: as long as they are used for the organization and history of the race; published results remain online as race archives.
  • Photos: as long as the galleries display them, unless you remove them.
  • Shop orders: ten years, the retention period for accounting documents set by law.
  • Audience measurement: depending on the duration set in Google Analytics, up to a maximum of fourteen months.

11. Your rights

You can at any time ask us what data we hold about you, have it corrected or deleted, object to its use (for example, for the newsletter or the publication of a photo), withdraw your consent if you have given it, and receive your data in a commonly used format. However, some data must be retained when required by law (for accounting purposes, for example).

Write to us at info@utjb.ch. We may ask you to verify your identity before replying.

If you feel that we are not respecting your rights, you can contact the Federal Data Protection and Transparency Commissioner (edoeb.admin.ch) or, if you live in the European Union, the data protection authority in your country.

12. Modifications

We update this page when our practices or tools change. The version published here, with its date, is the one that applies.
